Moving from sevDesk

Bring customers, suppliers, items, invoices, cancellations, credit notes, quotes and expenses with their PDFs into Invobookz — with the API token from your sevDesk account.

What you need

Invobookz needs the API token from your sevDesk account. Invobookz only reads with it — nothing changes in sevDesk.

The move is free and does not count towards the documents in your plan.

Copy the token in sevDesk

  1. Sign in to sevDesk.
  2. Open Einstellungen → Benutzer (Settings → Users) and there your own user.
  3. Copy the API-Token — it is below the language setting.

Use the token of a user who can see everything — otherwise documents will be missing.

sevDesk has no read-only token: whoever has it can read and change your sevDesk account. So do not send it to anyone by email or chat, and do not take a screenshot of it. Invobookz only reads with it.

Paste it into Invobookz and move

In Invobookz, open Settings → Import → sevDesk.

  1. Paste the token into the field API token from sevDesk.
  2. Click Dry run. Invobookz only reads the lists in sevDesk and shows what would come in and what is already there. Nothing is saved.
  3. Choose the service type for imported items. sevDesk has no service types; the VAT of your future invoices depends on it.
  4. Click Start the move. A bar shows the progress. If you close the page, the move waits for you with Continue next time.
  5. Done: Invobookz deletes the token.

What comes across — and how

  • Customers, suppliers, items. What you already have (same VAT number, same customer number and name, or same name) is recognised and left unchanged. Contact persons of a company do not become customers of their own.
  • Invoices, credit notes, quotes with the original PDF from sevDesk; payment reminders as PDFs on the invoice.
  • Cancellations: the cancelled invoice comes in as “cancelled”, the cancellation invoice as a credit note pointing to it — just like a cancellation in Invobookz.
  • Expenses with the uploaded file (PDF or photo).
  • Not imported: drafts, order confirmations, delivery notes, income receipts without an invoice — and recurring invoices. Set those up again in Invobookz and end them in sevDesk, so no invoice goes out twice.

Imported documents are a record. They appear in the lists, on the customer and the supplier — but they go into no VAT or VIES return, no report, no reminder, and they do not count towards the documents in your plan. They were already filed from sevDesk. That is why an imported invoice is not sent, chased or cancelled in Invobookz.

Importing twice does no harm: what is already there is recognised and not created again, and nothing in Invobookz is overwritten. Header and footer texts of the invoices are in the original PDF, not in the document.
